This Privacy Policy explains how EPiK Programs (“EPiK,” “we,” “us,” or “our”) collects, uses, stores, and shares information submitted through the EPiK Family Portal.
Information we collect
We may collect family contact information; names, dates, relationships, service information, obituary and memorial-program content; photographs and documents; proof comments and approvals; communication preferences; and technical information needed to operate and secure the portal.
How we use information
We use information to prepare memorial programs and related products, organize family case files, communicate with families and participating funeral homes, produce and deliver proofs, process requested corrections, provide portal access, prevent fraud or misuse, and maintain business and production records.
Service providers and funeral homes
Information may be processed by service providers that help operate the portal, including Google services for case files and email, Vercel for website hosting and secure functions, OpenAI for requested content formatting and proofreading, and Zavu and telecommunications providers for service-related text messages. Information may also be shared with the funeral home assigned to the family’s case. These parties receive information only as needed to provide the relevant service or coordinate the family’s memorial program.
EPiK does not sell phone numbers or SMS consent information. We do not share SMS consent with third parties or affiliates for their own marketing or promotional purposes.
Text-message privacy and consent
The intake form requires families to choose either email-and-text updates or email-only updates. Selecting email-and-text updates authorizes EPiK to send service-related messages about the submission, missing information, photographs, editing requests, and program proofs. Consent to receive text messages is not a condition of purchasing goods or services. Message frequency varies. Message and data rates may apply.
Reply STOP to opt out of text messages. Reply HELP for help, call 754-551-1366, or email epikprograms@gmail.com. After an opt-out request, EPiK will stop automated service-related texts as required. Families may continue receiving necessary communications by email or direct contact.
Data storage and security
EPiK uses reasonable administrative and technical safeguards designed to protect submitted information. Family case files are organized in access-controlled Google Drive folders. Uploaded files may pass through private temporary storage before being copied to the case folder. No online system can guarantee absolute security.
Retention and deletion
We retain case information for as long as reasonably needed to provide services, maintain production and business records, resolve disputes, and meet legal obligations. Families may request access, correction, or deletion by contacting EPiK. Some records may be retained when required for legitimate business or legal purposes.
Children’s privacy
The portal is intended for adults arranging memorial services and is not directed to children under 13. Do not submit a child’s contact information unless you are authorized to do so.
Your responsibilities
Please submit information and photographs only when you have authority to provide them. Families are responsible for reviewing names, dates, relationships, photographs, and service details before approving a proof.
Policy changes
We may update this policy as the portal or applicable requirements change. The effective date above identifies the current version.
